Analysis of transport costs (ACT)
Management of carriers price lists, application of the transport costs on the carried out deliveries, computation of debit invoices.
Managing the transport costs allows applying to the deliveries acquired by the company’s management system all the transport costs on the base of the carriers’ set price lists.
The costs applied to the deliveries (transport documents) by interactive or bulk way are defined as estimated costs and will supply the amount of the transport costs to bear in the period and by single carrier.
The estimated costs will be automatically or manually compared with the values of the carriers’ debit invoices thus enabling their checking.
Both estimated and final costs are analytically recorded by single transport document and by single product stated in such document. In this way it is possible to issue statistical analyses by consignee, zone, period and product code.
The management of the price lists supplies the flexibility necessary to anticipate as much as possible the application case record of the carriers’ rates.
The procedure consists of the following functions:
- Transport Document import: acquisition of the transport documents transferred by the Company IT System, checking and decoding of the received data and calculation of the fields needed for the following phases. Any incorrect documents are highlighted for their modification and rectification
- Rates management: allows entering and then managing the price lists agreed upon with the carriers. The price lists are the base to apply the rates to each delivery according to the carrier, the type of delivery, the type of vehicle used, the distance to cover
- Application of the Estimated Costs: calculates and applies on the base of the delivery make-up and the carrier employed, the agreements previously coded and records the costs of the applied rate
- Checking the Effective Costs: allows consolidating the costs and keeps trace of the difference between estimated costs and final costs
- Interactive manual checking: allows the application of the real costs deduced from the debit invoices received by each carrier
- Statistics permits to have available all the elements to analyse the executed deliveries through a series of processing and printing
